Mobile Bar Trailer Wedding Planning Checklist for Seattle-Area Coordinators

A practical mobile bar trailer wedding planning checklist covering site access, power, guest flow, delivery, and equipment questions.

Equipment only. The Exchange does not provide alcohol, bartenders, or staffing, and is not taking live bookings yet.

Start with the actual rental scope

A mobile bar trailer can give an event a defined beverage station and a visual focal point, but the equipment is only one part of the plan. Before a couple signs anything, establish whether the owner is providing only the trailer or also optional equipment such as a generator, refrigeration, glassware, or ice storage. Do not assume alcohol, beverage service, bartenders, licensing, or staffing are included. The Bar Trailer Exchange is being developed as an equipment-only marketplace.

Check the venue before checking availability

Ask the venue whether mobile bar trailers are permitted. Request a map showing the unloading route, trailer location, nearby utilities, and guest entry points. Check gates, tight turns, overhead branches, surface material, slopes, and how much room the delivery vehicle needs. Indoor event spaces may prohibit trailers outright; outside event spaces often have setup-window limits.

Clarify the power and water plan

A beautiful trailer is not automatically a self-contained beverage station. Some equipment needs external electrical service, some uses a generator, and some requires access to water or drainage. Ask the owner for the complete electrical load and all connections, then confirm those requirements directly with the venue. Extension cords and generators must be placed and operated safely.

Build the delivery into the run of show

Because the marketplace model requires owner delivery, setup, and retrieval, the coordinator should give the owner a specific arrival window, a contact person on site, and a pickup plan. Ask how long setup takes and whether decor, barware, and beverage suppliers need separate access. Avoid scheduling delivery during guest arrival.

Budget for more than the base trailer price

Compare the owner’s base equipment rate with any delivery fee, setup charges, rental duration, refundable deposit, and optional equipment. For an accurate comparison, ask for an itemized quote. This website is in prelaunch and does not publish rental rates or available trailers until verified owners provide them.

Finish with a coordinator handoff

Confirm who handles permits and any alcohol-service requirements, who provides licensed beverage service where required, who inspects the trailer at drop-off and pickup, and how damage is documented. A short written handoff between the venue, owner, and coordinator prevents avoidable surprises.
