12 Questions Wedding Planners Should Ask a Mobile Bar Trailer Owner
What to ask before renting a mobile bar trailer: dimensions, delivery, utilities, setup, insurance, damage, upgrades, and pickup.
Questions 1–4: fit and placement
1. What are the trailer’s exact length, width, and height, including its hitch and any open service hatch? 2. How much turning and delivery clearance is required? 3. What ground surface and slope can it safely occupy? 4. How much guest queue space is recommended around the service window?
Questions 5–8: equipment and logistics
5. What equipment is included in the base rental? 6. Is power needed, and what connection or generator specifications apply? 7. Is water or drainage required? 8. How long do delivery, setup, breakdown, and retrieval take, and who is the on-site point of contact?
Questions 9–12: terms and responsibilities
9. What is the total cost including mileage, duration, optional upgrades, and deposits? 10. What documentation records condition at handoff and return? 11. What insurance, venue approval, and use restrictions apply? 12. Who is responsible for beverages, staffing, any required licensing, and venue compliance?
Use the answers in the venue production plan
Collect equipment information early enough to share it with the venue or wedding coordinator. A quoted rental is not the same thing as approval to bring a trailer onto a property. Confirm vendor access windows, electrical limitations, emergency routes, and pickup instructions in writing.
What the Exchange will show
Our long-term listing goal is to display dimensions, actual equipment photographs, included amenities, optional upgrades, delivery details, and owner-set pricing. At present we are recruiting real owners in Greater Seattle; no rental availability is being represented on this site.
Make the first conversation efficient
Send the owner your event date, venue location, site photos, estimated guest count, proposed trailer placement, and a list of utility questions. That makes it easier for the owner to determine whether the equipment is suitable before either side spends time preparing a detailed quote.
